Role The Surrogate and Intended Parent (IP) Intake Coordinator
serves as the first point of contact for potential surrogates and
intended parents interested in working with the agency. This role
is responsible for guiding applicants through the initial stages of
the surrogacy journey, to include screening, collecting
documentation, providing education, and preparing qualified
candidates for program entry. The Intake Coordinator ensures that
all parties receive exceptional care, accurate information, and a
warm, supportive introduction to the agency’s process. We are
seeking Surrogate and Intended Parent (IP) Intake Coordinator a to
join our dedicated team at Pinnacle Fertility. This role is a
remote, full-time position Key Responsibilities Respond promptly to
inquiries from potential surrogates via phone, email, and online
submissions. Conduct initial interviews to assess eligibility,
motivation, and readiness for surrogacy. Review medical history,
pregnancy records, lifestyle factors, and background information.
Guide candidates through application forms and required
documentation. Coordinate psychological, medical, and background
screening appointments. Maintain accurate, confidential records in
the agency database or CRM system. Provide educational materials
and support throughout the intake process. Manage inquiries and
consultations with potential intended parents. Conduct introductory
calls to explain agency services, program options, timelines, and
costs. Collect initial applications, contracts, and relevant
documentation. Prepare intended parents for the matching process by
gathering profiles and preferences. Maintain consistent
communication to ensure proper support throughout the intake
process. Serve as the liaison between applicants, case managers,
and other departments. Coordinate scheduling for consultations,
screening appointments, and follow-ups. Track each applicant’s
progress to ensure a smooth, efficient intake experience. Ensure
all data and client files are accurate and compliant with HIPAA and
agency policies. Assist in developing and improving intake
procedures and materials. Contribute to database organization and
reporting for management. Support agency events, surrogate
information sessions, and outreach efforts as needed. Position
Requirements 2 years of experience in case coordination,
fertility/surrogacy, adoption, or related client services
preferred. Excellent communication, empathy, and organizational
skills. Proficiency in CRM software, Microsoft 365, and digital
communication tools. Ability to manage sensitive information
confidentially and professionally. Knowledge of third-party
reproduction and surrogacy processes (preferred, but training
provided). Skills & Abilities Compassionate, patient, and client
centered. Detail-oriented with strong follow-through. Comfortable
discussing sensitive and emotional topics. Able to work both
independently and collaboratively in a fast-paced environment
